Conference School: How to Organise a Good Conference? Part VII: The Technology

In this chapter, we will get to read about how remarkably useful and important it is to use different technology when organising a conference.

With the evolution of technology, a lot has also changed in how conferences are organised. If during the last millennium, the tools available to a presenter were quite limited, then that has completely changed today. As conference organisers, we know that all organisers are constantly looking for new solutions that would enable participants to communicate with each other, let them participate in discussions and to give feedback on the event all through one platform.

Multipurpose conference and event apps

When we noticed that there was a missing technological solution in the form of a platform that would provide the audience with interactivity and would let them exchange contacts and communicate, we decided to develop a new solution that could be used for planning events and conferences. Worksup was thus born out of our ambition. It is a web-based app dedicated to helping raise the interactivity and develop the business networks of events, conferences, workshops and seminars.

We could say that for many event or conference organisers, the so-called fatal blow has been the fact that the currently available conference apps are too expensive, time-consuming, inefficient or just too difficult to understand. Worksup was created to be as user-friendly as possible and with it, there is no need to worry about having to download an app which could also take up too much space on our phone.

The Worksup app has a lot of useful features for conference organisers, such as being able to share information and statistics with the audience during an event and being able to collect data after the event. This collected data can then be used to figure out which topics interest the audience the most and what was the overall feedback on how the event was organised. Additionally, Worksup can be used to put together a schedule, tasks and surveys for the participants.

Wearable technology

Wearable technology has also become an increasingly popular trend nowadays and many conference organisers are using it as a wow-element or to help people navigate their events faster. The Google Glass smart glasses, Samsung and Apple smartwatches and virtual reality headsets are just a few examples of the types of devices being used in planning or conducting a conference. Wearable technology allows people to get quick updates on what is happening at the conference and to take care of different tasks in an efficient manner. For example, virtual reality headsets have been also been used in many conferences to conduct tests among audiences, which has additionally increased interest among participants and also the level of interactivity available to them (here is an example of virtual reality at TedX).

Social media and live links

Today, we know that social media is here to stay. It is a very effective platform for exchanging information and thus, it is really good to use for distributing news to those who either could not attend the event or are interested in a specific event or specific topics. Worksup allows events to share the results of their tasks in the form of a live link, which help those who could not attend directly experience the event. Additionally, social media marketing may increase people’s interest in brands or a type of content. Content creation in the form of telling a story (texts, photos, videos) both in the app and on social media will definitely help in making the conference more interesting for everyone.
